About the Role

SeaLink is seeking a highly organised and proactive Administration & Operations Coordinator – Cafes to support the daily operations of our Cleveland Shore Cafe and all onboard vessel cafes.

 

This role is perfect for someone who enjoys a blend of operational coordination, team support, compliance oversight, and administrative responsibilities. As a key support to the Cafe Manager, you will play an integral role in ensuring safe, efficient, and customer‑focused operations across multiple cafe locations.

 

This position oversees documentation accuracy, daily coordination of Team Leaders, coordinates workflow across sites, and ensures all cafes meet compliance, reporting, and service standards.

 

Please note: This role includes early starts, with shifts commencing from 6:00am, as part of a rotating roster across a 365‑day operation.

 

What You'll Do

Operational Coordination

  • Coordinate operations across shore‑based and vessel‑based cafe venues
  • Support complex or multi‑venue shifts and provide real‑time operational problem‑solving
  • Ensure Team Leaders complete opening/closing procedures, compliance logs and cleaning schedules
  • Monitor presentation standards and customer areas across all venues
  • Support customer experience delivery and manage Tier 2 escalated issues

Administrative & Compliance Responsibilities (Key Focus)

  • Assist with roster planning, shift adjustments, timesheet review and payroll inputs
  • Maintain accurate operational documentation across all cafes (food safety, WHS, cleaning, allergen control, temperature checks)
  • Conduct regular mini‑audits to ensure compliance with food safety, WHS and regulatory requirements
  • Consolidate weekly reporting including sales, stock results, waste, audit findings and variance investigations
  • Raise purchase orders and support supplier liaison
  • Support reporting and data integrity across POS, rostering and compliance systems

About You

You are organised, proactive and comfortable coordinating people and processes across multiple locations. You enjoy structured work, value accuracy, and can switch between administrative and operational responsibilities with ease.

 

You bring:

  • Experience supervising or coordinating staff in a fast‑paced operational environment
  • Strong administrative and coordination capabilities
  • Excellent communication and people skills
  • Confidence making day‑to‑day operational decisions within set guidelines
  • Strong customer service skills and ability to handle escalated issues professionally
  • High attention to detail and ability to manage competing priorities

Skills, Qualifications & Experience

  • 3+ years’ experience in an operational, coordination or supervisory role (hospitality or service environments advantageous)
  • Experience with stock control, POS, cash handling and shift coordination
  • Confident using systems, reporting tools and software
  • Strong barista skills and coffee knowledge - preferable
  • Responsible Service of Alcohol (RSA) – preferable or willingness to obtain
  • Food Safety Supervisor Certificate – preferable or willingness to obtain
  • First Aid & CPR – preferable or willingness to obtain
