About the Role
Transit Systems (Victoria) is looking for a Stock & Inventory Co-ordinator.
Play a key role in keeping our bus fleet moving safely and reliably.
We are seeking a highly organised and proactive Stock & Inventory Co-ordinator to support our workshop operations and ensure the efficient management of parts, inventory, and workflow coordination.
Reporting to the Workshop Manager, this role is critical to maintaining fleet availability by ensuring parts and inventory are effectively managed and that workshop operations run smoothly. You will work closely with mechanics, Leading Hands, and external suppliers to support timely maintenance and repair of our bus fleet.
Key Responsibilities
Lead stock control and inventory processes, including procurement, receipting, invoicing, and tracking of parts. Conduct regular stocktakes and ensure critical components are available to support scheduled servicing and unplanned repairs.
Work closely with the Workshop Manager and Leading Hands to ensure maintenance activities meet quality standards and comply with all relevant safety, regulatory, and organisational requirements. Support internal and external audit processes.
Assist in the coordination of day-to-day workshop activities to ensure fleet maintenance is delivered safely, efficiently, and in line with operational requirements.
Coordinate and prioritise work orders, servicing, and repair schedules to maximise fleet availability and minimise service disruptions.
Manage workshop communications, including inbox management, contractor coordination, and site inductions. Maintain accurate records, data entry, and provide regular and ad hoc reporting.
Liaise with internal stakeholders and external assessors to manage repair processes, including obtaining quotations, submitting documentation and photos, and managing insurer or assessor portals.
About You
You are a detail-oriented and dependable professional who thrives in an operational environment. You understand the importance of keeping a fleet service-ready and take pride in maintaining accurate inventory and efficient systems.
You will bring:
Demonstrated experience in stock control, inventory management, or workshop administration (bus, heavy vehicle, or transport industry highly regarded)
Strong organisational and administrative skills with high attention to detail
Ability to manage competing priorities in a fast-paced environment
Sound communication skills and ability to work with a range of internal and external stakeholders
Experience using inventory or maintenance management systems
Proficiency in Microsoft Office (Excel, Outlook, etc.)
A proactive, solutions-focused approach
