Maintenance Administrator

Apply to join our Maintenance team, a dedicated group that ensures all our vessels operate smoothly. Our team work on our renowned Sydney Harbour vessels including The Jackson, Starship Sydney and Sydney 2000.

 

About the Role

Join our team as a Maintenance Administrator on Sydney Harbour, where you’ll provide essential support for the Maintenance Team. Working under the Head of Fleet Maintenance, you will perform administrative functions, coordinating maintenance schedules, maintaining inventory, and ensuring compliance with maritime safety standards. 

 

A typical day in your may include:

 

  • Collaborate with technical staff to identify required parts, tools, and supplies, and source them from approved suppliers while negotiating terms.
  • Develop and maintain an organized inventory system, conduct routine stocktakes, and adjust stock levels to meet operational needs.
  • Coordinate with the Maintenance Manager to create rosters, ensuring staff availability aligns with operational needs and regulatory requirements.
  • Manage shift changes and leave requests, maintain open communication with team members, and use scheduling tools to enhance efficiency and reduce conflicts.
  • Regularly prepare maintenance performance reports and maintain detailed records of all maintenance activities.
  • Perform maintenance activities in compliance with maritime regulations and safety standards, and stay informed about industry updates.
  • Prepare for audits and inspections, maintain compliance records, and promote a culture of safety within the team.
  • Manage inquiries, emails, and communications professionally, and assist the Maintenance Manager with calendar management, meeting coordination, and follow-ups.

 

About You

You are an organised and proactive individual with a passion for maritime maintenance. With proven experience in a maintenance administration role, you excel at multitasking and have strong communication skills. Your attention to detail ensures compliance with safety regulations, and your ability to manage records, suppliers, and inventory keeps operations running smoothly. Proficiency in maintenance management software and Microsoft Office Suite is essential, and knowledge of maritime safety regulations is a plus.
