Depot Coordinator

Transit Systems NSW is seeking a motivated and operationally focused Depot Coordinator to join our team at South Granville Depot.

 

This is an exciting opportunity for someone who thrives in a fast-paced transport environment and is passionate about coordination, customer service, teamwork and safety.

As a Depot Coordinator, you will support the day-to-day running of the depot, coordinating driver and bus availability to help deliver safe, reliable and efficient bus services.

About the Role

Working closely with the Depot Supervisor and Operations Manager, you will be a key operational point of contact during your shift. You will monitor driver attendance, respond to changes in availability, coordinate coverage and maintain accurate operational records.

This role requires strong organisational skills, clear communication and the ability to remain calm, prioritise competing demands and respond effectively to operational challenges.

Key Responsibilities

  • Monitor driver sign-on and availability to support scheduled services.
  • Record and manage same-day sick calls and unplanned absences.
  • Identify roster gaps and arrange coverage where available.
  • Allocate drivers and buses in line with operational requirements.
  • Liaise with Yard Persons regarding fleet readiness and bus availability.
  • Liaise with the Operations Control Centre on service delivery matters.
  • Record cancelled trips, incomplete trips and events where drivers are unable to continue duty.
  • Update the leave calendar and record same-day availability changes.
  • Monitor day-off-cancelled arrangements and casual driver coverage.
  • Support coverage for NightRide services and other high-risk shifts.
  • Complete driver welfare checks where required.
  • Request camera footage for accidents, incidents, complaints and assaults where required.
  • Complete clear and accurate shift handover notes.
  • Escalate unresolved issues to the Depot Supervisor or Operations Manager.
  • Follow relevant safety, operational and HSEQ policies and procedures.

About You

To be successful in this role, you will bring:

  • Experience in transport, logistics, rostering, dispatch or a similar operational coordination environment.
  • Strong organisational and time management skills, with the ability to respond to changing priorities.
  • Clear communication and interpersonal skills to support drivers and work effectively with operational teams.
  • The ability to work under pressure, make sound decisions within your responsibilities and recognise when to escalate issues.
  • High attention to detail when maintaining rosters, availability records and shift handovers.
  • Confidence using computer systems, Microsoft Office and operational reporting tools.
  • A practical, proactive approach to problem-solving and a strong commitment to safety and reliable service delivery.
  • Flexibility to support shift-based depot operations.
